Explained: Warning (Approaching resource limit) – Mail Quota
If you receive an email notification with the the subject ‘Warning (Approaching resource limit)’ it means that a resource in your hosting account has nearly reached its designated quota. This could be your web space, traffic, database or mailbox quota. Unlike the other three, the mail box quota cannot be overused and be charged additionally. It will stop receiving emails when you have reached the maximum limit and won’t start accepting new emails until there is space within the mail box again. There are a number of methods to prevent this from happening so you have a full functioning email address all the times.
- If you receive email to a single computer via POP3 using an email client such as Outlook, Thunderbird or Mac Mail then these can be set to remove emails straight from your mail server (this is usually the default setting but it can be turned off). This action can also be delayed to delete from the server after a chosen number of days.
- If you access your email via IMAP or use the webmail facility on your hosting account then you need to delete your old emails that are no longer required. This will then remove them from your mailbox on the server and create space for your new emails.
- The mailbox quota can also be increased in size through your online control panel if you still want to keep your old emails on the server and you don’t have any you can delete.
A useful tip for a quick way to delete all emails from a mailbox would be to delete the email address from within your control panel and then recreate it using the exactly the same credentials.
